1. Introduction
BizMate AI ("BizMate", "we") is operated by [LEGAL BUSINESS NAME]. BizMate provides AI-assisted customer communication, sales, support, lead management, orders, appointments, automation and related business tools. Businesses connect their own channels and configure how BizMate replies on their behalf.
This policy covers the BizMate web application, the BizMate website chat widget, BizMate voice features where enabled, and BizMate integrations with WhatsApp and Facebook Messenger.
2. Information businesses provide
- Your name and the name of your business
- Email address and phone number
- Account and sign-in information
- Business profile details such as business type, hours and branding
- Products, services and catalog information you upload or import
- FAQs, policies and other knowledge base content
- Staff or team member details you add to your workspace
- Integration configuration for the channels you connect
3. Customer information processed through BizMate
When your customers contact your business through a connected channel, BizMate processes the information needed to handle that conversation, which may include:
- Name, where provided
- Phone number, and email address where provided
- Conversation messages and message metadata
- Product enquiries and product interest signals
- Order details such as items, quantity and delivery information
- Lead information and lead scoring signals
- Appointment requests and scheduling details
- Support requests and related notes
4. Channel data
Conversations may reach BizMate through the website chat widget, WhatsApp, Facebook Messenger, and voice channels where those features are enabled for your workspace. BizMate receives only the message content and identifiers that the channel delivers for the conversation with your business. BizMate does not receive unrelated private Facebook or WhatsApp account data.
5. Images and attachments
Customers may send product images, documents, other attachments and voice notes. These are processed to provide the functionality that was requested, such as matching an image to a product in your catalog or passing an attachment to your team inbox.
Attachment handling depends on the channel and your workspace configuration. Some files are processed only for the duration of the request, some are stored so the conversation remains readable in your inbox, and some are referenced from the originating channel rather than copied. We do not claim that every uploaded file is retained permanently.
6. Voice data
Where voice features are enabled, BizMate may process audio a customer sends or speaks, speech-to-text transcripts of that audio, AI-generated spoken replies, and basic interaction metadata such as timing and duration. Enabled voice features process the audio necessary to provide the service.
BizMate does not record telephone calls unless a specific call-recording capability is separately implemented, enabled and disclosed to you.
7. AI processing
BizMate may use AI service providers to:
- Understand incoming messages
- Generate suggested or automatic replies
- Analyse product images sent by customers
- Transcribe speech to text
- Generate spoken responses
- Classify business intent such as an order, lead or appointment request
AI-generated output can be inaccurate or incomplete. Businesses should configure human handover for sensitive or important matters and should review AI behaviour, knowledge base content and product information. BizMate must not be relied on for diagnosis, medical emergencies or prescription decisions.
8. Why we process information
- Provide the services a business has requested
- Authenticate users and protect accounts
- Answer customer enquiries on behalf of the business
- Process and organise orders
- Manage appointments and reminders
- Capture and manage leads
- Run automations the business has configured
- Detect, prevent and investigate abuse
- Troubleshoot problems and provide support
- Maintain the security and reliability of the service
9. Third-party service providers
BizMate relies on third-party infrastructure and services to operate. Depending on the features in use, these may include cloud hosting and database providers, AI model providers, Meta platforms for WhatsApp and Facebook Messenger, email delivery services, telephony or voice providers where enabled, and payment providers where connected. These providers process information only as needed to support the service.
10. Meta, WhatsApp and Facebook
Using WhatsApp or Facebook Messenger through BizMate is also subject to Meta's own terms, privacy policies and platform rules, including business verification and permission requirements. Availability of these channels depends on Meta and is outside BizMate's control.
11. Payments
BizMate does not store credit or debit card details. No live payment gateway is currently connected to BizMate. If an external payment provider is connected in future, payment information will be processed by that provider under its own terms, and BizMate will receive only transaction status and reference information.
13. Analytics and attribution
The BizMate website chat widget may record marketing attribution information supplied by the page a visitor arrives on, such as UTM parameters, a gclid or fbclid click identifier, the referring site, and the landing page path. This helps a business understand where an enquiry came from. It is attached to the conversation for that business and is not used for cross-site fingerprinting.
15. Business and customer roles
A business using BizMate decides what business information to provide, what its AI assistant is configured to do, and which of its own customers' information it processes through the service. BizMate processes that information to provide the service to the business. Each business is responsible for having an appropriate basis to use its customers' information and for its own notices to those customers.
16. Data retention
We retain information for as long as reasonably necessary to provide the service, meet operational and security requirements, resolve disputes and comply with applicable obligations. Retention may vary by data type and by service configuration — for example, conversation history, attachments, voice audio and audit records may be kept for different periods.
17. Data deletion and account closure
A business owner may request deletion of workspace data, or closure of the account, by contacting [SUPPORT CONTACT EMAIL]. We will verify the request and act on it within a reasonable period. Some information may remain temporarily in backups, or be retained where required for legal, security or accounting reasons, so we cannot promise instant and irreversible deletion everywhere at the moment of the request.
18. Security
We use technical and organisational safeguards designed to protect information, including access controls, tenant separation in the database, server-side handling of provider credentials and audit logging of administrative actions. No online service can be guaranteed completely secure. We make no certification claims.
19. International processing
Cloud hosting and AI providers used by BizMate may operate infrastructure in more than one country, so information may be processed outside Bangladesh. We do not promise Bangladesh-only data residency.
20. Healthcare and sensitive contexts
BizMate is a communication, appointment and automation tool. It is not a hospital information system, an electronic medical record system or a diagnostic system. A business in a healthcare or education setting may configure BizMate to handle appointment and communication information, and should avoid collecting clinical or medical detail it does not need. BizMate makes no claim of compliance with HIPAA or any other healthcare-specific law.
21. Children's information
BizMate is intended for businesses and their staff, and is not designed for children. A business may communicate with its own customers through BizMate and remains responsible for the appropriateness of those communications. BizMate does not technically verify the age of people who message a business.
22. Changes to this policy
We may update this policy as the service changes. The effective date, last updated date and version at the top of this page reflect the current document. Material changes will be communicated through the application or by email.
