1. Acceptance of terms
By creating a BizMate account, accessing the service, or connecting a channel, you agree to these terms on behalf of the business you represent. If you do not agree, do not use the service.
2. Eligibility and business use
BizMate is provided for business use. You must be legally able to enter a contract and be authorised to act for the business whose account you create. You are responsible for complying with the laws that apply to your business.
3. Description of services
Depending on your plan and configuration, BizMate may provide:
- Website AI chat
- AI sales assistant
- AI customer support
- Lead generation and lead management
- Knowledge base
- Product intelligence and catalog import
- Order capture and management
- Follow-ups
- WhatsApp AI, subject to provider approval
- Facebook Messenger AI, subject to provider approval
- Voice AI where enabled
- Appointments
- Receivables and payment reminders
- Automation
- Reports and insights
- Optional industry modules
Not every feature is included in every plan. Feature availability follows the plan catalog shown on our pricing page and in your workspace.
4. Accounts and security
Your business is responsible for:
- Keeping account credentials confidential
- The actions of the users it authorises
- Its BizMate configuration, including AI instructions and automations
- The accuracy of the business information, catalog and policies it supplies
- Protecting access to the account and revoking access when staff leave
5. Subscription plans
Features, allowances and pricing depend on the plan you select. The current plans, prices, allowances and billing cycles are those published in the BizMate plan catalog on our pricing page and in your workspace at the time of purchase. Plans and catalog contents may change; changes apply going forward.
6. Setup fees
Professional setup, configuration or onboarding assistance may be charged separately from the subscription. Any applicable setup fee is the amount published in the plan catalog for the plan you select.
7. Third-party charges
Charges from external providers may apply separately and are not included in your BizMate subscription unless expressly stated. These may include WhatsApp and other Meta platform charges, telephony or voice provider charges, AI usage charges, payment gateway fees, and other external provider costs.
8. Payments
BizMate does not currently operate an automatic subscription payment gateway. Subscription amounts are arranged and recorded with our team, and your workspace reflects the plan and period that has been applied. If an automated payment provider is enabled in future, its terms and billing behaviour will be disclosed before it applies to your account.
9. Free pilot
A free pilot period may be offered for new workspaces. The pilot length is the value configured in the plan catalog (currently 7 days). Pilot allowances and features follow the plan applied during the pilot, and access reverts to the applicable plan when the pilot ends.
10. Acceptable use
You must not use BizMate for:
- Unlawful activity of any kind
- Spam or unsolicited bulk messaging
- Fraud or deception
- Impersonating another person or business
- Harassment, threats or abusive content
- Distributing malware or harmful code
- Unauthorised collection of personal data
- Breaching the policies of a connected channel or provider
- Attempting to bypass platform security, access controls or usage limits
11. WhatsApp, Messenger and other platforms
Availability of third-party channels depends on the external provider, including account eligibility, business verification, app permissions, platform approval, API availability and provider rules. BizMate cannot guarantee that Meta or any other provider will approve your account, page, number or permissions, and is not responsible for provider decisions or outages.
12. AI limitations
AI can make errors. Your business remains responsible for reviewing and configuring AI behaviour, knowledge base content, product information and any important business action. BizMate output is not professional legal, medical or financial advice and must not be relied on as such. Configure human handover for sensitive matters.
13. Orders
BizMate may assist with capturing customer orders from conversations. Captured orders are drafts for your review: BizMate does not independently verify or guarantee an order, stock availability, pricing accuracy or delivery. Your business confirms and fulfils orders.
14. Payment claims and screenshots
An uploaded screenshot, reference number or customer statement is not proof of payment. BizMate does not treat such material as confirmed payment. Payment should be treated as received only when an authoritative source, such as your bank, mobile financial service or payment provider, confirms it.
15. Appointment booking
BizMate may support appointment scheduling and reminders. Your business remains responsible for staff schedules, service availability, capacity and honouring booked appointments.
16. Healthcare use
Where BizMate is used in a healthcare setting, it is a communication and appointment automation tool only. It is not a substitute for qualified healthcare professionals, and it does not diagnose, treat or prescribe. For a medical emergency, contact emergency services or an appropriate medical provider directly. Any emergency contact details shown to customers must be configured by the business.
17. Voice AI
Voice interactions may involve AI transcription and synthesised speech, which can misrecognise or mispronounce content. Call, SIP and telephony availability depends on external providers where applicable. We do not promise uninterrupted real-time voice service.
18. Your content and data
Your business retains its rights in the content and data it supplies, including catalog, knowledge base and customer information. You grant BizMate the rights necessary to host, process and transmit that content in order to operate the service for you. BizMate does not claim ownership of your business data.
19. BizMate intellectual property
BizMate's software, platform, branding, design, documentation and underlying technology remain our property. You may not copy, reverse engineer, resell or create derivative versions of the platform except as permitted by law or by written agreement.
20. Service availability
We aim to keep BizMate available and reliable, but we do not promise uninterrupted service. Planned maintenance, provider outages, network problems and other technical interruptions may occur.
21. Suspension
We may suspend a workspace or specific features where there is:
- Non-payment or an expired subscription
- Abuse of the service or of message recipients
- A security risk to the platform or other customers
- A violation of these terms or of acceptable use
- A legal requirement
- A restriction imposed by a third-party platform or provider
Where practical we will notify the account owner and explain what is needed to restore access.
22. Termination
You may stop using BizMate and request account closure at any time. We may terminate or decline to continue service for the reasons listed above or on reasonable notice. On termination, access to the workspace and connected channel automation ends.
23. Data after termination
Data handling after termination follows our Privacy Policy. Information is retained only for as long as reasonably necessary for operational, security, dispute-resolution and legal purposes, and some copies may persist temporarily in backups. Export any data you need before closing the account.
24. Disclaimers
Except as expressly stated, BizMate is provided on an "as is" and "as available" basis. We do not warrant that the service will be error-free, that AI output will be accurate, or that it will meet every requirement of your business. Nothing here excludes rights that cannot lawfully be excluded.
25. Limitation of liability
To the extent permitted by applicable law, BizMate is not liable for indirect, incidental, special or consequential loss, or for lost profits, lost revenue, lost goodwill or lost data arising from use of the service, or for the acts, decisions or outages of third-party platforms and providers. Nothing in these terms limits liability where limitation is not permitted by law.
26. Indemnity
You agree to be responsible for claims arising from your unlawful use of the service, your breach of these terms, or your messaging to your own customers in breach of applicable law or channel policy, subject to applicable law and to our own responsibility for our conduct.
27. Changes to the service and these terms
The service evolves and features may be added, changed or removed. We may update these terms; the effective date, last updated date and version at the top of this page reflect the current document. Continued use after an update means you accept the updated terms.
